One system instead of a spreadsheet, an inbox and a filing cabinet

Tenancies, leases, maintenance, documents and reporting in one place, scoped by agency and branch so everyone sees the properties that are actually theirs. The unglamorous half of the job, with the retyping taken out.

The problem

The work that fills the day and shows up nowhere

Without TenantSync

Tenancy details live in a spreadsheet, the lease PDF lives in a drive, and the tenant’s phone number lives in somebody’s phone.

Every new lease is a Word template someone edits carefully and occasionally gets wrong.

Maintenance arrives by text, phone and email, and nobody can say what state a job is in.

A BER cert or gas safety cert expires and nobody notices until it matters.

A landlord client asks how their properties did this year and it takes an afternoon.

With TenantSync

Property, unit, tenant and lease records sit together, so opening a tenancy shows you the lease, the documents and the contact at once.

Generate the lease from the tenancy you already hold, validate it, preview it, then finalise to a stored PDF — the same draft-first flow as Form 1.

Requests carry photos, an assigned contractor, internal notes and a comment thread the tenant can see their side of.

Documents carry expiry dates and reminders fire at thirty, fourteen, seven, three and one days before, on the day, and after it.

Per-client reporting and Excel export mean the answer is a download rather than a reconstruction.

What you get

The operational surface, in one place

Properties, units, tenants, leases

The records the rest of the system hangs off, scoped by agency and branch so a principal sees everything and a branch manager sees their own. Tenant email is optional — you can track a tenancy for someone whose address you do not hold, and email-driven flows simply skip them.

Import from Letman or a spreadsheet

Property images and per-property document store

Subscription tier sets the property cap, not the feature set

Lease generation and signing

Draft a lease from the tenancy you already have, validate the fields, preview the PDF, then finalise it to stored document. Signed copies upload back against the lease, and pending signatures are listable so you know what is outstanding.

Maintenance with a contractor attached

Log a request with multiple photos, assign a service provider, keep internal notes separate from what the tenant sees, and let a tenant comment move the request to responded without anyone re-keying it.

Documents that chase their own expiry

Store certs, agreements and correspondence with expiry dates. Reminders fire at thirty, fourteen, seven, three and one days before expiry, on the day, and again at one, seven and thirty days after — so a lapsed cert cannot sit unnoticed.

Reporting per landlord client

Portfolio analytics with Excel export, per-client reports for the landlords you manage for, and an aging report showing what is outstanding and for how long.

Daft and MyHome inquiries

Newer than the rest of this page, and worth knowing about: register the mailboxes that receive portal inquiry emails and they are parsed into lead records with a pipeline from new through contacted and applied to reviewed. Applicants complete a token-gated form with document upload, and anything that fails to parse or cannot be matched to a property is flagged on the lead rather than dropped.

How it works

Import once, work from one place after that

Bring the portfolio across

Import from Letman or a spreadsheet. Properties, tenancies and lease details come over without rekeying.

Set your team up

Agency and branch scoping means each person sees the properties, tenancies and actions that belong to their role.

Move the day-to-day in

Maintenance requests, documents and communications land in one place rather than three inboxes.

Report without assembling

Per-client reports and Excel export turn the landlord question into a download.

Built for how Irish agencies actually work

Scoping, migration and mobile are not afterthoughts

Multi-landlord from the start

An agency managing for thirty owners is the normal case here, not an enterprise upgrade. Branch scoping comes with it.

Migration is a supported path

Direct Letman import and spreadsheet import exist because switching cost is the real objection, not the monthly fee.

The same data on the phone

Native iOS and Android apps are included with every subscription, so a viewing or an inspection is not a note to type up later.

Compliance is attached, not adjacent

Because tenancies live here, RTB deadlines and certificate expiries attach to the same records rather than a parallel tracker.

FAQ

Admin and operations questions

What agencies ask before moving their day-to-day across.

Yes. TenantSync imports directly from Letman and from CSV, so properties, tenancies, leases and rent details come across intact. Concierge onboarding is available to get an agency fully set up rather than leaving you to it.

Records are scoped by agency and branch. An agency administrator sees every branch, a branch manager sees their own branch, and an agent sees what they are assigned. Landlord clients and tenants see only their own properties and tenancies.

The tenancy still works. Tenant email is optional, and every email-driven flow — reminders, invoices, arrears alerts, bulk emails — skips tenants without an address rather than failing. The one exception is tenant onboarding, which needs an address to send the invite and will tell you so.

It drafts one from the tenancy details you already hold, validates the fields, and renders a preview you can read before committing. You finalise it, and the PDF is stored against the lease. Review is yours — it produces a draft, not a document to sign unread.

Yes, and they can comment on their own requests, which moves the request to responded automatically. Internal notes stay internal — the tenant sees the thread they are part of, not your notes on the job.

It handles the standard notification emails from both portals, turning them into lead records with applicant details and the property referenced. It is newer than the rest of the platform, so it is built to fail visibly: an email it cannot parse, or one it cannot match to a property, is flagged on the lead for you to complete rather than discarded.

Yes, native apps on iOS and Android, included with every subscription. Compliance deadlines, rent status, maintenance and documents are all available on the phone.
