Quick Start
The fastest way to have TenantSync doing real work for you. Three short steps get one unit live, with automatic rent detection and RTB compliance switched on — and no tenant or lease forms in sight.

Add a property
The only thing TenantSync needs to begin
A property is the building; a unit is a rentable space inside it. When you create a property, TenantSync automatically adds a default unit for you — so renting out a single house is genuinely a one-step start. The monthly rent is the only figure that matters right now, and you can change it whenever you like.
Follow these steps:

Add the property
- Go to Properties → New Property
- A name, the address and the monthly rent are plenty — skip anything you do not have to hand
- You can come back and fill in BER, facilities and photos any time

Your default unit is ready
- A default unit is created automatically inside the property — no extra step needed
- Open the property to edit that unit’s name (e.g. "Flat 2" or just "Main house") and rent if you like
- Renting out more than one space? Click "Add Unit" to add extra units — otherwise you are ready to track
Tip: One house = one property with its automatic default unit. An apartment block = one property, then add a unit per flat so each can be tracked on its own.

Tap "Start tracking"
One tap sets up the tenancy for you, behind the scenes
On the unit, click Start tracking. TenantSync quietly builds the tenancy record that powers rent detection and RTB compliance — so you skip the tenant and lease forms entirely for now. You will be handed a short payment reference (something like TS-4F2A). Give it to your tenant to quote on their rent transfer, and we can match their payment automatically.
Follow these steps:

Start tracking the unit
- Open the unit and click the "Start tracking" button
- Optionally add the name that appears on the tenant’s bank transfer — it helps us match the payment
- That’s it — rent tracking and RTB compliance are now switched on for this unit

Share the payment reference
- Copy the reference shown (e.g. TS-4F2A)
- Send it to your tenant: "please add this reference to your rent transfer"
- It becomes the strongest signal we use to match their rent to the right unit
Tip: No tenant details yet? That is completely fine. Start tracking works from the unit alone — add the tenant’s real details later and nothing resets.

Switch on the two things that matter most
RTB compliance and automatic rent detection — both a single tap
These are the two jobs Irish landlords lose sleep over, and TenantSync turns both on straight from the unit:

Mark the tenancy RTB compliant
- On the compliance view, tap "Mark RTB compliant"
- Optionally add your RTB registration number and the date you registered
- It records your own confirmation that the tenancy is registered — fully editable, and you can remove it any time

Connect your bank for automatic rent detection
- Go to Open Banking → Connect Bank Account (about 2 minutes, on your bank’s own secure screen)
- From then on, the unit shows its own status: Rent paid, Awaiting, or Overdue
- No spreadsheets, no ticking things off by hand — the payment matches itself
Note: Marking a tenancy compliant is your own declaration that it is registered with the RTB — it does not file the registration for you, and it is not a substitute for registering with the RTB directly.
Tip: Your bank connection is read-only. TenantSync can see transactions to match your rent, but it can never move money or touch your account.

Create a Property
Add your first property to your portfolio
The property form has 4 stages. Work through each one — you can go back and edit at any point before saving.
Follow these steps:

- Property type (House, Apartment, Studio…)
- Eircode (optional)

- Select at least one facility (Heating, Internet, Parking…)

- Check all the details are correct
- Click "Submit" to add the property to your portfolio
Tip: You can add as many properties as your subscription plan allows. Start with one and expand at any time.

Edit or Add Units
Your default unit is ready — adjust it or add more
A unit is an individual rentable space within the property — a flat, a room, or an entire floor. When you create a property, TenantSync automatically creates a default unit for it, so you do not have to add one to get started. You can edit that default unit at any time, and add more units only if the property has several rentable spaces. Each unit is tracked independently.
Follow these steps:

Edit the default unit
- Go to Properties and click on the property you just created
- You will see a default unit already listed — click it to edit
- Update the Unit Number / Name, surface area, rent, and status to match your property

Add another unit (only if you need it)
- For a single house, the default unit is all you need — you can skip this
- For multiple rentable spaces, click "Add Unit" on the property details page
- Unit Number / Name (e.g. Flat 7, Suite 10, Apartment 4)
- Surface area in m²
- Rent price per month (€)
- Status: Available / Rented / In Maintenance

Confirm & Save
- Review the unit summary preview that appears
- Click "Confirm" in the dialog — the unit is now linked to the property
Tip: For a single house, the automatic default unit is all you need. For an apartment block with 10 flats, add one unit per flat so you can track each independently.

Create a Tenant
Add the person who will rent the unit
A tenant profile stores contact details and acts as the link between a person, a unit, and a lease. If you began with the Quick Start, adding real tenant details here simply enriches the tenancy you already created — nothing is duplicated.
Follow these steps:

Go to Tenants → Add Tenant
- Full name (required)
- Email address (required — used to send the portal invitation)
- Phone number (optional)
- Date of birth (optional)
- PPS Number (optional, Irish Personal Public Service Number)
- Address (optional, but useful for the lease agreement)

Save
- Click "Add Tenant" — the profile is created immediately
- You can edit any details at any time from the Tenants list
Tip: Double-check the email address — it is the one used to invite the tenant to their portal.

Onboard the Tenant
Send them an invitation to the TenantSync portal
Onboarding sends the tenant an email inviting them to create their own login. From their portal they can view their lease, log maintenance requests, and see rent records.
Follow these steps:

Open the tenant profile
- Go to Tenants and click on the tenant you created
- Click the "Onboard Tenant" button

Customise the invitation email
- The subject and message body are pre-filled — you can edit them
- Preview the email before sending

Send the invitation
- Click "Send Invitation" and confirm
- The tenant receives a welcome email with a link to set their password
- They can log in via browser or the TenantSync mobile app (iOS & Android)
Note: Onboarding requires an active paid subscription (Standard plan or above). Free trial users cannot send portal invitations.
Tip: Tenants only ever see their own lease, rent history, and maintenance requests — nothing from other tenants.

Create a Lease Agreement
Formalise the tenancy in 5 guided steps
The lease wizard walks you through selecting the property, unit, and tenant, then capturing all the financial and legal details. You do not need to have a lease document ready — if you do not upload one, TenantSync will automatically generate a legally compliant Irish lease agreement for you using the details you enter, which you can then review, edit, and save.
Follow these steps:

- Pick the specific unit within that property

- Choose one or more tenants who will be on the lease

- Tenancy type: Fixed Term or Periodic (rolling, no end date)
- Start date (and end date for fixed term)
- Rent amount (€) and deposit amount (€)
- Payment frequency: Weekly / Fortnightly / Monthly / Quarterly / Yearly
- Extra charges — e.g. parking fee, pet fee (optional)
- Rent cap exemption toggle — only if the dwelling qualifies for an exemption from the national rent cap

Step 5 — Review & Submit
- Review all the details you have entered to make sure everything is correct
- Upload option: If you already have a signed paper or PDF lease, you can attach it here — TenantSync will store it securely
- Auto-generate option: If you do not have a document yet, simply leave the upload blank — TenantSync will automatically create a compliant Irish lease agreement using the information you just entered
- For the auto-generated lease: a draft will open for you to read through, make any final edits, then save and download as a PDF
- Click "Submit" — the lease is now active and linked to your tenant and unit
Tip: The auto-generated lease is based on current Irish tenancy law and is pre-filled with your exact property, tenant, and rent details. You can edit any section before saving, and you can download a PDF copy at any time from the lease details page.

Manage Your Documents
Keep all your important files in one safe place
TenantSync lets you store documents like insurance certificates, inspection reports, lease agreements, and more. You can access them at any time, see when they expire, and download or delete them whenever you need.
You have two options to upload documents:

Upload a document from a property
- Go to Properties and click on the property you want to manage
- On the property page, scroll down and click the "Documents" tab
- Click the "Upload Document" button
- Choose the file from your device (PDF, JPEG, or PNG — max 5 MB)
- Give it a name, pick a category (e.g. Insurance, Lease Agreement), and set an expiry date so you get reminded before it runs out
- Click "Submit" — the document is saved and linked to that property

Upload a document from the Document Storage section
- In the left-hand menu, click "Document Storage" (or "RTB Hub")
- You will see two sections: RTB Hub (official compliance templates) and Document Storage (your own files)
- Click "Document Storage", then "Upload Document"
- Follow the same steps as above — name, category, optional expiry date, then submit

View, download, or delete a document
- Open any document list (either from a property page or from Document Storage)
- Each document shows its name, category, and expiry date if one was set
- Click the eye icon to preview it on screen
- Click the download icon to save a copy to your device
- Click the edit icon to update the document name, category, or expiry date
- Click the red bin icon to delete it — you will be asked to confirm before anything is removed
Tip: Set expiry dates on time-sensitive documents like insurance policies or gas safety certificates. TenantSync will highlight them in orange or red when they are about to expire and send reminders, so you never miss a renewal.

Connect Your Bank for Rent Tracking
See incoming rent payments automatically — no manual entry needed
Open Banking is a secure, bank-approved way to give TenantSync read-only access to your bank transactions. Once connected, the system automatically detects incoming rent payments and matches them to the right tenant and lease — so you always know who has paid and who has not, without typing anything manually. TenantSync can only read your transactions. It cannot move money, make payments, or change anything in your account.
Follow these steps:

Open the Open Banking section
- In the left-hand menu, click "Open Banking"
- You will see a list of any bank accounts you have already connected, or an empty screen if this is your first time
- Click "Connect Bank Account" to get started

Choose your bank and grant permission
- A secure window will open — type the name of your bank in the search box and select it from the list
- You will be taken directly to your own bank's login page (not TenantSync) to approve the connection
- Your bank will ask you to confirm "read-only access" — this means TenantSync can see transactions but cannot interact with your account in any way
- Once you approve, you will be automatically redirected back to TenantSync — the whole process takes about 2 minutes

View your matched rent payments
- Once connected, TenantSync will begin reading your recent transactions
- Incoming payments are automatically matched to tenants based on the amount and timing
- You can review each match and confirm or correct it if TenantSync got it wrong
- Your live bank balance is also shown so you have a full financial overview in one place
Note: Bank access tokens expire after a set period (typically 90 days). This is a security measure set by your bank, not TenantSync. You will receive a reminder before expiry prompting you to re-authorise. It takes less than 2 minutes to renew.
Tip: Open Banking is available on Standard plan and above. If your bank is not listed, you can still record payments manually through the rent tracking section.

RTB Compliance & Automation
Track your legal obligations and never miss a deadline
All landlords in Ireland are legally required to register their tenancies with the Residential Tenancies Board (RTB) and meet a range of ongoing obligations — from rent reviews to safety certificates. TenantSync's RTB Compliance Dashboard tracks all of this for you automatically. Every obligation is colour-coded by urgency so you always know at a glance what needs your attention and when.
Follow these steps:

Open the RTB Compliance Dashboard
- In the left-hand menu, click "RTB Compliance"
- At the top, you will see three summary cards: Compliant (everything is fine), Upcoming (deadline approaching soon), and Overdue (action required now)
- Below that is your full compliance timeline — a list of every tracked obligation across all your properties

Understand the colour-coded status system
- Green — Compliant: This item is up to date, no action needed right now
- Orange — Upcoming: A deadline is approaching within the next 30 days — review and take action soon
- Red — Overdue: A deadline has already passed — this needs immediate attention to keep you legally compliant

Add or manage your compliance items
- Click "Add Item" to manually track a compliance event — for example a BER Certificate renewal, Gas Safety Check, Electrical Certificate, or Insurance renewal
- Set the due date and type — TenantSync will automatically change the colour status as the deadline approaches and send you reminders
- Common items like RTB Registration and Part 4 Notice dates are created automatically when you set up a new lease

Track rent reviews with RPZ calculations
- The Rent Review Tracker shows you exactly when you are legally allowed to increase the rent for each tenancy
- Enter the current rent and the date it was last set — TenantSync will calculate the maximum rent increase allowed under the national rent cap (the lower of CPI inflation or 2% a year)
- This protects you from accidentally exceeding the legal rent increase limit, which can result in fines

Access official RTB forms and templates
- In the left-hand menu, click "RTB Hub"
- Here you will find official RTB documents and compliance templates such as Notice of Rent Review and Notice of Termination
- Many fields are pre-filled using your lease data, saving you time and reducing the chance of errors
Note: RTB Compliance features are available on Standard plan and above. Failing to register a tenancy with the RTB is a legal offence in Ireland — this step is not optional.
Tip: When you create a new lease, TenantSync automatically generates an RTB Registration compliance item so you are reminded to register within the required timeframe. You do not need to add it manually.

Common Questions
Do I really not need a tenant or a lease to start?
Correct. With the Quick Start, a property and a unit are enough. Tapping "Start tracking" creates the tenancy record for you behind the scenes, so rent detection and RTB compliance can begin. Add the tenant’s real details and a full lease whenever you like.
Is the Quick Start just a shortcut I’ll have to redo?
No. It’s a real head start. Everything the Quick Start creates — the unit, the tenancy, the payment reference, the compliance status — carries straight into the full setup. Adding tenant details or a lease later enriches what’s there; it never duplicates or resets it.
What is the payment reference for?
It’s a short code (like TS-4F2A) you give your tenant to quote on their rent transfer. It’s the strongest signal TenantSync uses to match an incoming payment to the right unit automatically — so "who has paid?" answers itself.
Does "Mark RTB compliant" register the tenancy for me?
No. It records your own confirmation that the tenancy is registered with the RTB, so it shows as compliant in TenantSync. It does not file anything with the RTB and is not a substitute for registering directly. You can add your RTB number and date, edit it, or remove it at any time.
Is connecting my bank safe?
Yes. Open Banking gives TenantSync read-only access, approved on your bank’s own secure screen — we never see your login and can never move money. It’s used only to match incoming rent to your units.
Which parts need a paid plan?
You can set up properties, units and Quick Start tracking on the free trial. Tenant portal invitations, Open Banking and the full RTB compliance suite are available on the Standard plan and above.
What happens if I make a mistake?
Everything can be edited at any time — property details, rent, unit settings, the payment reference, tenant info and lease dates included.
